Sewanee, TN – As the Sales Administrative Assistant, you will be in charge of carrying out all administrative duties as assigned by the Sales Manager. This individual must possess strong organizational skills and a high degree of attention to detail. This position requires a high level of energy and flexibility to provide efficient and professional administrative support to the Sales Manager and other managers when appropriate. Primary responsibility is to assist the Sales Manager, maintain positive interdepartmental communications, as well as complete other special projects as assigned by the Sales Manager.

PRIMARY RESPONSIBILITIES

  • Develop and update administrative systems to make them more effective
  • Coordinating office procedures
  • Handling sensitive information in a confidential manner
  • Maintain computer and manual filing systems
  • Ensure room blocks are entered correctly, including market segment, folio billing and room type
  • Act as first point of contact for corporate and university clients, gathering necessary information to organize follow up for Sales Manager
  • Assist other managers and department heads when necessary along with hourly employees if able. Direct to the Sales Manager when needed
  • Perform additional duties as required

JOB REQUIREMENTS

  • Ability to perform assigned duties with attention to detail, speed, accuracy, follow-through, courtesy, cooperativeness and work with a minimum of supervision
  • Punctuality and regular and reliable attendance
  • Interpersonal skills and the ability to work well with co-workers and the public
  • Networking ability to show social skills in a variety of ways including in person and over the telephone
  • Experience with computers / POS systems
  • Attention to detail
  • Able to listen and be aware of surroundings and information being communicated and able to act on information received
  • Prior guest relations training
